Privacy Policy

This policy explains what information PoiiBot collects, how it is used, and what choices you have. PoiiBot is a Discord bot built and operated by Hanako Amaya. By using PoiiBot or the PoiiBot dashboard, you agree to the practices described here.

What we collect

PoiiBot collects and stores the following information when you interact with the bot or the dashboard:

• Your Discord user ID, username, and avatar URL
• Your activity within PoiiBot, including experience points, Hana Coins, inventory items, command usage counts, and level progression
• Server-specific settings and configurations set by server administrators
• Twitch and YouTube alert configurations provided by server administrators
• Ko-fi supporter links if you voluntarily connect a Ko-fi account through the dashboard
• Any custom profile information you choose to set, including profile titles, bios, and display preferences

We do not collect passwords, payment information, email addresses (except optionally through Ko-fi linking), or any information outside of what is described above.

How we use it

The information collected is used solely to operate PoiiBot's features. This includes tracking your progression in the economy and leveling systems, displaying your profile, enabling server-specific settings, and powering alert systems for Twitch and YouTube. We do not sell your data, share it with third parties for advertising purposes, or use it for any purpose unrelated to running the bot.

Data storage

All data is stored in a MySQL database hosted on Railway. Access to this database is restricted to the bot and dashboard services. Data is retained for as long as you or your server continues to use PoiiBot. If you would like your data removed, you can contact us through the support server.

Third-party services

PoiiBot interacts with the following third-party platforms in the course of its normal operation:

• Discord, for all bot functionality and user authentication on the dashboard
• Twitch, to monitor stream status for alert features
• YouTube, to monitor video uploads for alert features
• Ko-fi, if you choose to link your account through the dashboard

Each of these platforms has its own privacy policy. PoiiBot only accesses the data from these services that is necessary to provide the feature you are using.

Dashboard authentication

The PoiiBot dashboard uses Discord's OAuth2 system to log you in. We do not store your Discord password. When you log in, Discord provides us with your user ID, username, avatar, and the list of servers you share with PoiiBot. This information is used only to power the dashboard and is not shared with anyone.

Your rights

You have the right to request a copy of the data stored about you, or to request that it be deleted. To make either request, join the PoiiBot support server and open a support thread. We will respond as soon as possible.

Note that deleting your data will reset your economy progress, inventory, levels, and all other PoiiBot account data permanently.

Changes to this policy

If this policy changes in a meaningful way, we will post an update in the support server. Continued use of PoiiBot after any changes constitutes acceptance of the updated policy.
